Although the fee guides do not come into effect until 2012 it’s a good idea to get them loaded onto your system.  Our support team can then show you how to switch to the new fee guides on your own.

kb Did you know that answers to most of your frequently asked questions to support can be found online at For example, a patient's balance shows as $0.00 but several transactions are displayed in red as they have balances and other transactions show having credits. ClearDent has a nice trick built in to assist in this kind of scenario.
  1. Choose to Add a Patient Payment.
  2. Select a payment type in the Pay By: field
    NOTE: this choice is arbitrary and does not matter; you just need to have an item selected

  3. Click the Manual Enter option and leave the balance at $0.00.
  4. Click Allocate and then Ok.
The available credits will be distributed against remaining balances from oldest to newest. This will change the ledger to look like the following:

Electronic (EDI) Claim Tips and Tricks

You may occasionally get an error message when sending an electronic claim, which says: "Please Select an Exception code." The reason why this is happening is because the system thinks the exception code isn't set for the patient. This scenario typically happens if you’ve recently converted from a different software system to ClearDent. To rectify this, follow the steps below.
  1. For the patient that failed to send EDI, go to their Personal tab.
  2. Next, go to the Exception field in the top right and take note which setting is already set here (the example in the screen shot shows “4 Not applicable”).
  3. Temporarily change it to a different exception code and then click the Save button.
  4. Now change the exception code back to the original setting and click the Save button again.
You should now be able to send electronic claims properly.  edi

Inventory Management: small add-on, big difference

ClearDent’s inventory manager is an optional module that turns your storeroom into a mini-Walmart. Using a handheld barcode scanner all inventory items from a box of gloves to a single implant can quickly and easily be scanned in or out. This allows you to instantly track current stock, reorder points, minimums/maximums, usage, print orders, and even track pricing from suppliers. Upgrade your office’s ClearDent proficiency
Staff changes in a dental office combined with new versions, feature enhancements, and updates from ClearDent mean that your office may be missing out on great features that can make your life easier. Refresh and enhancement training is available for all aspects of ClearDent from the financials, reporting, scheduling, recalls, insurance tracking, to clinical imaging and charting for $125 per hour with a 4 hour minimum and any applicable travel charge. A good rule of thumb for all offices is to budget for an additional &frac12 day to full of training every 18-24 months or following key staff turnover.

Managing your ClearVault backup

Managing your ClearVault backup monthly cost is easy
ClearVault literally backs up anything you chose in your office. However, because ClearVault is a usage based service, the cost will increase proportionally with the amount of data you backup. The increase in cost varies based on the size of the practice, as the larger the practice, the more data that will be generated from day to day use. If at any time you want to bring down the cost (as the backup size accumulates over time) you can contact us to change the backup policy you have chosen. For example, you may chose to take some of the old archives out of ClearVault and place them in an USB drive. Keep the USB drive somewhere safe, ClearVault still backs up your current data securely, and you have just reduced the cost of ClearVault.
The changes in backup policy will immediately reflect in the next billing cycle.

University of Manitoba Alumni Bulletin Article Featuring ClearDent: Software Maker Steps Up

ClearDent offers a glimpse of the future and makes big impact on students

With a gift of practice management software worth well over $250,000, ClearDent, in partnership with the Faculty of Dentistry’s Centre for Community Oral Health (CCOH), is giving Manitoba’s dental students a glimpse of what their future dental practices may look like.

ClearDent introduced the idea of paperless practice to the dental industry with its invention nine years ago. With the software, dentists can do their charting chair-side, using revolutionary touch screen technology that is not only quick and efficient, but also more ergonomic and much better for infection control than other available options. The opportunity to partner with ClearDent was one that CCOH jumped at. And for ClearDent and its Sales Manager, Peter Li, the partnership was a natural fit.

“I am quite involved with charities that help those who are underprivileged at home in B.C., so, knowing that CCOH in your Faculty of Dentistry is also focused on serving those who are less privileged, I could see that it was a good fit,” says Li. “The fact that it would also allow students to work on our software made it a golden opportunity.”

Li stresses that the University of Manitoba was ClearDent’s number one choice for a university partner. With one of the largest outreach programs in Canada, Manitoba’s dental school was a perfect venue for ClearDent to introduce its software to a tech savvy generation of dental students, and one in which they could also make a difference in the oral health of those who need help most.

By gifting this software, which has been successfully in use in CCOH for three years, ClearDent is able to give dental students experience working in a paperless practice environment. It’s one that could reflect the digital world may work in directly after graduation and may also be something students might wish to emulate as their careers progress and they begin to operate their own practice.

At that time, those graduates will be able to draw upon their experience using ClearDent to make an educated decision about the practice management software they consider for their clinic. The University of Manitoba is proud to be able to teach them using one of the best systems available. For instance, Manitoba’s CCOH is the only one in Canada using ClearDent’s touch screen technology. This gives students a real advantage once they graduate. They will be on the cutting edge of dental practice, ensuring that the University of Manitoba maintains its reputation as a top destination for dental education in North America.

“We are very grateful for the gift in kind of ClearDent’s software for our programs at the Centre for Community Oral Health,” says Dr. Pamela Dahl, Director of CCOH. “As a not-for-profit organization, our programs treat populations who would normally have limited access to dental care, such as the elderly, people in remote areas, and families with limited financial means. The ClearDent software has been utilized in our clinics for three years and we have found that they have a terrific support team.”

**IMPORTANT** Regarding Bulk Insurance Cheques from Pacific Blue Cross and Ministry of Social Services

Effective immediately, all bulk cheques sent out by Pacific Blue Cross will also contain payments for Ministry of Social Service patients.

Below is a guide on how to enter bulk insurance payments for Ministry patients.
1) Create the Bulk Cheque as you normally would under Pacific Blue Cross and then pull up the name of a patient that has an insurance balance under Ministry (MSSH) of Social Services.

When the payment window appears, click the dropdown arrow by the “Carrier” field and select MSSH

Allocate the amount of the payment for the patient and click ok.

If you go to the patient’s ledger you will see that even though their insurance was MSSH the Bulk Payment will still show up correctly as Pacific Blue Cross.
